Physician Practice Manager

Primary Care

Position Summary
Manages the day-to-day operations of a busy Primary Care practice. Responsible for the coordination of patient care, financial monitoring, program planning, practice development and administrative services. May be responsible for faculty practice at multiple locations or one large practice.

Position Activities

Develops and implements policies, procedures, systems and best practices to ensure office efficiency. Exercises discretionary judgment in the assessment, development and implementation of faculty office practice. Provides training to staff in office systems and procedures, including patient appointments, insurance verification, pre-certification and scanning. Resolves problems related to patient care and other administrative activities.

Ensures high level of customer service to patients, guests and employees of both the Medical College and hospital as measured by satisfaction surveys, customer comments and direct observation. Develops polices and procedures that are customer oriented/focused and responsible to quality of service needs. Monitors levels of quality of service and develops strategies for improvement based on benchmarks established by the department and Physician Organization.

Supervises and coordinates support staff in areas of Internal Medicine and Obstetrics and Gynecology to ensure proper coverage; coordinates schedule with clinical supervisor if necessary. Approves and tracks all time off requests and unplanned absences. Ensures that staff arrive on time and prepared to work appropriately attired. Approves work schedules. Enters bi-weekly time sheets using time-keeping module in SAP. Maintains accurate attendance records.

Manages HR activities including interviewing of prospective candidates, hiring, training, coaching and performance appraisals. Administers corrective action in situations involving attendance/punctuality, behavior and/or performance by following proper disciplinary protocols. Facilitates staff development. Mediates and resolves employee problems/issues.

Monitors the phones to ensure that calls are answered with the highest level of customer service to patients, guess and employees of the Medical College and hospital; that all messages, prescription refills and referrals are handled properly and in a timely manner.

Oversees the Billing Coordinator and ensures that check-out staff perform daily collection of payments and postings; ensures that batch proofs are accurate and deposits are prepared for the bank. Ensures Billing Coordinator has responded to billing inquiries from patients and missing charge reports/TES edits are printed and worked on on a daily basis. Meets periodically with billing coordinator to identify areas for improvement that may impact upon the A/R management and net collections for the practice.

Supervises front desk and scheduling staff to ensure that patients are scheduled in GE properly; that demographics, insurance and pharmacy information are obtained and updated; eligibility is verified at TOS and appropriate actions taken if patient is not eligible.

Oversees the clinical supervisor in each area to ensure that advice is given in a timely manner, lab work handled appropriately, patients are arrived and wait time monitored.

Organizes and manages practice operations by ensuring that facilities, phone system and equipment are working properly. Orders office/medical supplies; maintains inventory. Ensures that scanning and medical records requests are done in a timely manner and mail sorted and sent out daily.

Maintains up-to-date knowledge on billing and other operation issues. Prepares payment requisitions for approval. Organizes and manages facilities operations to ensure practice and equipment are in good working order. Completes special projects as assigned by the Administrator/Medical Director.

Performs other related duties as assigned.

Minimum Requirements
  • Bachelor's degree required.
  • Substantial ( 4+ years ) administrative and supervisory level experience required in a large academic medical center desired.
  • Demonstrates competence in third party healthcare reimbursement regulations, CPT and ICD-9 coding, medical insurance, managed care plans, billing/collections.

Highly Desired Requirements
Knowledge of GE Flowcast registration and scheduling system and EMR called Epic Hyperspace.
